Washington State Transcript COVID-19 Changes

To meet the guidance and rules in OSPI’s Transcript Developer User Guide Special Version COVID-19, we have made the following programming changes to the Washington State High School Standardized Transcript in Qmlativ and in SMS 2.0:

  • Added an indicator and a notation to students’ transcripts – The indicator is an asterisk next to the MO/YR for every academic period between 03/17/2020 and 08/31/2020 to indicate which term(s) were impacted by the COVID-19 pandemic school facility closures. This is not a course waiver and it is not specific to a group of students. It is meant for all students who were enrolled in high school rigor courses at the time of the COVID-19 pandemic. The notation identifies the meaning behind the indicator and prints at the bottom of the transcript. This notation states: “*Indicates all courses listed under this Mo/Yr included school facility closure days due to COVID-19 pandemic emergency.”
  • Added the grade marks of “I” and “V” to the Administrative Information section of the transcript – The grade marks were added to indicate an Incomplete course or COVID-19 related waived course. When a student has a course with a grade mark of I, the grade mark is visual only and does not calculate into Credit or GPA values. The purpose is to indicate that the student was not able to complete a course due to the COVID-19 school closures, and the student may complete the course at a later date to earn a letter grade. When a student has a course with a grade mark of V, the course, credit value, and grade mark are visual only and do not calculate into Credit or GPA values. The purpose is to display the amount of credit waived for the student for the course, due to the COVID-19 school closures. Per the OSPI grading FAQ, a student must make every effort to resolve the Incomplete prior to graduation. If it is not resolved, it cannot be removed from the transcript.
  • Removed the Graduation Pathway from the Additional State Requirements section for the class of 2020 – Students still need to meet the requirements for their Graduation Pathway, but it is not printed on the transcript.

Our Cooperative districts can now print official WA Transcripts.
